Creating and Managing Service Bookings


The Service Booking Form enables you to seamlessly schedule services for customers. Accessible under the Bookings tab, you can create bookings, track them in the Service Booking Report, and perform additional actions like sending emails and generating invoices.

1. Create a New Service Booking

  1. Go to the Bookings tab.
  2. Click on the Service Booking menu.
  3. Fill in the required details in the form, including:
    • Customer: Select the customer from the list or add a new customer.
    • Service Name: Specify the type of service being booked.
    • Technician: Assign a technician to the service.
    • Service Date: Choose the date for the service.
    • Add any additional relevant information.
Also you can create a new service booking by approving any open Estimate.

2. View Created Bookings

  1. Access the Service Booking Report to view a list of all created bookings.
  2. Filter the report by status and date for a customized view.

3. Automate Email Notifications and Invoice

  1. In the Service Booking Form, click the Send Mail checkbox and Create Invoice checkbox to automatically notify the customer about the booked service and create an invoice.

4. Generate Invoices

  1. In the detailed view of the Service Booking Report, locate the booking and click the Create Invoice button to generate invoice.

5. Cancel a Booking

  1. In the detailed view of the Service Booking Report, locate the booking and click the Cancel button to cancel the service.

6. Assign Technicians or Contractors

  1. In the detailed view of the Service Booking Report, locate the booking and use the Assign Contractor button to assign a technician or contractor for the service, both located under the same Bookings Tab.

7. Assign Sub-Technicians

  1. Once a contractor is assigned, further assign sub-technicians using the Assign Sub Technicians button in the detail view of the Assign Sub Technician Report menu for the booking, both located under the same Bookings Tab.

Additional Tips

  • Ensure accurate details to prevent scheduling errors.
  • Regularly check the Service Booking Report for an overview of all scheduled services.
  • Utilize email notifications and invoices for improved communication and record-keeping.
